Privacy notice

1. Data protection at a glance

The following notes provide an overview of what happens to your personal data when you visit our website. Personal data means any data by which you can be personally identified.

You can use our website without providing any personal details. We collect data only where your browser transmits technical information when a page is requested, which is recorded in server log files, or where you send us something yourself – using the contact form, an application for membership or the newsletter subscription. We do not use analytics or advertising services, we do not embed third-party content in our pages, and we do not create user profiles.

The society is represented by its board; the members are listed on the page Board of the society. The controller is the natural or legal person who alone or jointly with others determines the purposes and means of processing personal data. No data protection officer has been appointed; the society is not required by law to appoint one. Please address data protection enquiries to the contact details given above.

3. Hosting and server log files

This website is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. A data processing agreement pursuant to Art. 28 GDPR is in place with the provider; the data are processed on servers in Germany.

When you access the website, the provider automatically collects and stores information in server log files which your browser transmits:

browser type and version
operating system used
referrer URL (previously visited page)
host name of the accessing computer
date and time of the server request
name and size of the file requested
IP address

This processing serves the technical operation, stability and security of the website. The legal basis is Art. 6 (1) (f) GDPR. According to the provider, log files concerning visitors are stored for no longer than seven days and are then deleted. They are not combined with other data sources.

4. Access statistics

Our hosting provider evaluates these log files to produce access statistics, which are available to us in aggregated form (for example the number of page views and sessions, addresses requested, referring pages and browsers used). The evaluation takes place on the server; no cookies are set for it and no profiles of individual persons are created. The legal basis is our legitimate interest in designing the website to meet actual needs, pursuant to Art. 6 (1) (f) GDPR.

5. Contact form and contact by e-mail

If you write to us using the contact form, we process the details you enter: name, e-mail address, subject and message. These details are not stored within the website; they are forwarded to our office by e-mail only.

The processing serves to handle your enquiry. The legal basis is Art. 6 (1) (b) GDPR where your enquiry concerns the initiation or performance of a membership, and otherwise our legitimate interest in responding to enquiries pursuant to Art. 6 (1) (f) GDPR. The same applies if you contact us directly by e-mail, telephone or post.

We retain your enquiry for as long as it is required to deal with the matter and for any follow-up questions, or as long as statutory retention periods apply; it is deleted thereafter. The data are not passed on to third parties.

Providing your data in the contact form is neither required by law nor by contract and is entirely voluntary. Without your name and e-mail address, however, we cannot reply to you; no other disadvantages arise for you.

6. Membership

If you apply for membership, we process the data given in the application in order to establish and administer your membership, in particular for collecting fees and dispatching the journal. The legal basis is Art. 6 (1) (b) GDPR. These data are deleted once the membership ends, unless statutory retention periods – for instance under tax law – require otherwise.

7. Newsletter

You can subscribe to our newsletter, in which we announce general meetings, events and the publication of the journal “Der Antike Sudan”. For this purpose we process your e-mail address and your first and last name.

Subscription uses the double opt-in procedure: after entering your details you receive an e-mail containing a confirmation link. Your address is added to the list only once you have clicked it. As evidence of consent we store the time of subscription and of confirmation together with the IP address used.

The legal basis is your consent pursuant to Art. 6 (1) (a) GDPR. You may withdraw it at any time with effect for the future – via the unsubscribe link at the end of every message or informally at mail(at)sag-online.de. After withdrawal you will receive no further messages; on request we delete your entry entirely.

The newsletter is sent using software running on our own web space; addresses are stored there only and are not passed on to third parties. No external mailing service is involved. We do not track reading behaviour, for instance by tracking pixels or click measurement.

8. Protection against automated attacks

To protect against unauthorised access we use the extension “Shield Security”. It detects and blocks automated login attempts and logs IP addresses for this purpose. The legal basis is our legitimate interest in the security of the website pursuant to Art. 6 (1) (f) GDPR. These logs are deleted at regular intervals.

9. Cookies

Cookies are small text files stored by your browser. This website does not use cookies for analytics or advertising. Technically necessary cookies are set only when editorial staff log in to the protected area. No consent is required for simply visiting the pages.

10. SSL/TLS encryption

This site uses SSL/TLS encryption to protect data in transit. You can recognise an encrypted connection by the address bar of your browser beginning with “https://” and by the padlock symbol. Data you send to us cannot then readily be read by third parties. Please note that data transmission over the internet – for instance when communicating by e-mail – may nevertheless have security gaps; complete protection against access by third parties is not possible.

11. Links to other websites

Our pages contain links to external websites, for instance to partner institutions, to the full texts of our journal at Propylaeum (Heidelberg University Library) or to our accounts on Facebook, Instagram and Bluesky. Simply visiting our pages does not transfer any data to those sites; this only happens once you click such a link. Responsibility for data processing on linked sites lies with their respective providers.

12. Recipients and transfers to third countries

The recipient of personal data is our hosting provider, which processes the data exclusively on our behalf and according to our instructions (processor pursuant to Art. 28 GDPR). Beyond that, we disclose data only where we are legally obliged to do so.

No transfer of your data to countries outside the European Union or the European Economic Area is intended. Where our hosting provider engages sub-processors outside the EU for individual technical services, this takes place on the basis of the EU standard contractual clauses pursuant to Art. 46 (2) (c) GDPR.

13. No automated decision-making

Automated decision-making, including profiling, within the meaning of Art. 22 GDPR does not take place.

14. Your rights

Information, rectification, erasure

You have the right at any time to obtain information free of charge about your stored personal data, their origin and recipients and the purpose of processing (Art. 15 GDPR), and where applicable a right to rectification (Art. 16) or erasure (Art. 17). To exercise these rights, contact us informally at mail(at)sag-online.de or at the address given above.

Right to restriction of processing

You have the right to request the restriction of processing of your personal data (Art. 18 GDPR), for example while the accuracy of disputed data is being verified, instead of erasure in the case of unlawful processing, where you need the data to assert legal claims, or while a decision on an objection under Art. 21 (1) GDPR is pending. Restricted data may – apart from being stored – only be processed with your consent or for certain purposes provided for by law.

Right to data portability

You have the right to receive data which we process automatically on the basis of your consent or in performance of a contract in a commonly used, machine-readable format (Art. 20 GDPR). Direct transfer to another controller takes place where technically feasible.

Right to object (Art. 21 GDPR)

Where processing is based on Art. 6 (1) (e) or (f) GDPR, you have the right to object at any time on grounds relating to your particular situation. We will then no longer process the data concerned unless we can demonstrate compelling legitimate grounds which override your interests, or the processing serves to assert, exercise or defend legal claims.

Withdrawal of consent

Any consent given may be withdrawn at any time with effect for the future (Art. 7 (3) GDPR); an informal message is sufficient. The lawfulness of processing carried out before withdrawal remains unaffected.

Right to lodge a complaint

You have the right to lodge a complaint with a supervisory authority (Art. 77 GDPR), in particular in the member state of your residence, place of work or the place of the alleged infringement. The authority responsible for us is the Berlin Commissioner for Data Protection and Freedom of Information, Alt-Moabit 59–61, 10555 Berlin, Germany.

15. Objection to promotional e-mails

We hereby object to the use of contact details published under our legal notice obligations for sending unsolicited advertising and information material. We reserve the right to take legal action in the event of unsolicited advertising being sent to us.

16. Amendments to this privacy notice

We update this notice whenever the processing carried out on this website changes.
